Airbnb Message Templates: 20 Ready-to-Use Examples for Hosts (2026)

A typical Airbnb reservation generates 10–15 guest messages, and a host managing five listings spends around 9 hours a week answering them by hand. A library of 20 proven templates — sent at the right moment in the guest journey — cuts that time by roughly 70% while making replies faster, more consistent, and more likely to earn 5-star communication scores.

01 — Why Templates Save Hours (the Actual Math)

Writing a message from scratch takes 3–4 minutes: recall the booking details, find the door code, type, proofread. Pasting a template with dynamic fields takes 20–30 seconds. Multiply that difference across a season and the numbers get serious.

Portfolio Messages/week Time writing manually Time with templates Hours saved/month
1 listing ~15 ~55 min ~8 min ~3 hrs
5 listings ~75 ~4.5 hrs ~40 min ~16 hrs
10 listings ~150 ~9 hrs ~1.3 hrs ~33 hrs

There is a second, less obvious payoff: consistency. Communication is one of the six sub-scores in every Airbnb review, and hosts with a structured messaging sequence consistently outperform improvisers — a 4.9 communication score versus roughly 4.6 for hosts who reply ad hoc. Templates also protect you on response time, which feeds directly into Superhost eligibility (90%+ response rate required).

Templates are the first step of a bigger system, and they only pay off when they land at the six moments that carry Airbnb messages from inquiry to review. If you want the full picture of triggers, timing, and tools, our guide to automated Airbnb messages covers the complete stack.

02 — The Guest Journey: What to Send and When

Every reservation follows the same arc. Map one template to each moment and you cover 90% of communication without thinking about it.

Booking confirmation Within 1 hour of booking 1–2
Pre-arrival 7 days, 3 days, 1 day before 3–5
Check-in Morning of arrival + after arrival 6–8
During stay Day 2, mid-stay, on request 9–11

Template 9 — Day 2: Settling-In Message

Template 14 — Thank You + Review Request (3 Hours After Checkout)

"

Hi {guest_name}, thank you for staying at {listing_name}

Template 15 — Review Reminder (Day 3)

"

Hi {guest_name}, hope you got home safely! Airbnb's review window closes {days_left} days after checkout, so this is a friendly nudge in case it slipped your mind. It only takes a minute and makes a real difference. Thanks again

One note on review requests: send the first one a few hours after checkout, while the trip is still fresh. Hosts who ask within the same day see noticeably higher review completion than those who wait until Airbnb's automatic prompt.

05 — Five Situational Templates Every Host Needs (16–20)

The journey templates cover the predictable. These five handle the situations that used to mean 20 minutes of careful wording.

Template 16 — Early Check-In Request

"

Hi {guest_name}, thanks for asking! Our cleaning team works between checkouts, so I can't guarantee early access yet. I'll know by {time} on arrival day and will message you immediately if the apartment is ready sooner. If you arrive before then, you're welcome to drop your bags at {luggage_option}.

Template 17 — Complaint Response (Something's Wrong)

"

Hi {guest_name}, I'm really sorry about {issue}

— thank you for telling me right away. Here's what I'm doing: {action} — {person} will be there by {time}. I'll follow up as soon as it's resolved. If anything else isn't right, please tell me directly so I can fix it during your stay.

Template 18 — Extension / Gap-Night Offer

"

Hi {guest_name}, good news: the apartment is free the night after your checkout. If you'd like an extra night, I can offer it at {discounted_rate} instead of {standard_rate}

— no cleaning gap, just keep the keys. Interested? Reply and I'll send the official change through Airbnb.

Template 19 — House Rules Reminder (Noise / Extra Guests)

"

Hi {guest_name}, a quick note: the building has quiet hours from {start_time}, and a neighbor mentioned some noise tonight. I'm sure it wasn't intentional

— I'd just appreciate keeping the volume down after {start_time}, as it's part of the house rules we agreed at booking. Thanks so much for understanding, and enjoy the rest of your evening!

Template 20 — Local Tips on Request

"

Great question! My shortlist: Breakfast

— {cafe} ({distance}). Dinner — {restaurant}, book ahead on weekends. Don't miss {attraction}, best visited {timing}. For getting around, {transport_tip}. Want more? Tell me what you're into — food, museums, nightlife — and I'll narrow it down.

Tone matters as much as content, especially in templates 17 and 19 where a clumsy phrase can turn a fixable issue into a bad review. Our guide to Airbnb messaging best practices breaks down the tone, timing, and escalation rules behind these examples.

06 — How to Use Airbnb's Saved Messages and Scheduled Messages

Airbnb ships two native tools that turn the templates above into a working system. Both are free and live inside the host inbox.

Saved messages (quick replies). Open any conversation → tap the quick-replies icon → "Manage saved messages" → create a new one. Give each template a short name ("Check-in full", "Review ask"), paste the text, and insert dynamic shortcodes — guest first name, check-in date/time, checkout date, listing name — so details fill themselves in per reservation. In a conversation, two taps insert the full message.

Scheduled messages. From the inbox menu, choose "Scheduled messages" → "New message". Pick a trigger — booking confirmed, check-in, or checkout — and an offset (for example, "3 days before check-in at 10:00"). Assign it to one or more listings and Airbnb sends it automatically to every future reservation. Three scheduled messages (confirmation, pre-arrival, checkout) cover templates 1, 4, and 12 with zero manual work.

The Limits You Hit Fast

  • Only three triggers. Booking, check-in, checkout. No "2 hours after arrival", no "3 days after checkout" for review reminders — those still need you.
  • No conditional logic. You can't send a different message to one-night guests versus two-week guests, or skip the parking paragraph for guests without a car.
  • Airbnb inbox only. Guests read the platform inbox far less reliably than their own messaging apps — time-sensitive information like door codes often goes unseen until the guest is standing at the door.
  • One language. Shortcodes don't translate. A French guest gets your English template, minus the warmth.
  • And the big one: scheduled messages only talk. They never listen.

07 — What Templates Can't Do: Answer Questions

Here's the uncomfortable stat: roughly 60–70% of guest messages are questions, not acknowledgments. "Is there parking nearby?" "How does the induction hob work?" — sent as a photo of the control panel. "Can we check in at 11?" — as a voice note, in German, at 11:40 pm.

Templates handle the messages you send. They do nothing for the messages you receive, which is where most of those 9 weekly hours actually go. That gap is why many hosts pair Airbnb's native tools with a conversational layer — a WhatsApp AI chatbot that understands free-form questions and answers them like a human would.

This is exactly the gap Verto was built for. It's an AI concierge that talks with guests on WhatsApp 24/7 in 25+ languages, understanding text, photos, and voice notes. Instead of firing fixed texts on a timer, it reads the actual question and answers from your property's knowledge base and live booking data — it connects via API to Smoobu, Lodgify, Beds24, Hospitable, Hostaway, Guesty, OwnerRez, and SmartPMS. Across 12,000+ real guest conversations, Verto handles 85% autonomously, escalating to you only when a human decision is genuinely needed.

Why WhatsApp and not the platform inbox? Open rates above 90%, guests already live there, and it supports the media guests actually send — photos of a broken lock, voice notes from the car. If you're weighing the channel itself, our breakdown of the WhatsApp Business API explains what hosts can and can't do with it.

The practical setup for 2026 looks like this:

Layer Tool Covers
Outbound sequence Airbnb scheduled messages Templates 1, 4, 12
Manual quick replies Airbnb saved messages Templates 2–3, 5–20
Inbound questions, 24/7, any language Conversational AI on WhatsApp The other 60–70%

Verto starts at €24.90 per apartment per month, setup takes about 30 minutes, and there's no lock-in — so the templates keep doing the broadcasting while the AI handles the conversations.

Frequently Asked Questions

How do I create saved messages on Airbnb?

Open any guest conversation in the Airbnb inbox, tap the quick-replies icon next to the text field, then "Manage saved messages" and "Add a new message". Name the template, paste your text, and insert shortcodes for the guest's name and booking dates. Once saved, it's available in every conversation with two taps, on both mobile and desktop.

What's the difference between saved messages and scheduled messages?

Saved messages are manual quick replies: you choose when to insert them in a conversation. Scheduled messages send automatically based on three triggers — booking confirmed, check-in, or checkout — with a timing offset you define. Use scheduled messages for the predictable sequence (confirmation, pre-arrival, checkout instructions) and saved messages for everything you send in response to guests.

When should I send the check-in instructions?

Send full check-in instructions the morning of arrival day, with a shorter preview 3 days before so guests can plan. Sending the door code too early risks it getting buried in the thread; too late causes doorstep panic. A three-touch sequence — details request at day 3, recap the day before, full instructions on the morning — covers virtually every arrival smoothly.

Do message templates hurt my review scores by feeling impersonal?

No — done right, they raise scores. Guests can't tell a well-written template from a typed message, especially with dynamic fields for their name and dates. What hurts reviews is slow, inconsistent, or missing communication, which templates prevent. Hosts using structured sequences average around 4.9 on communication versus 4.6 for ad-hoc repliers. Personalize one line per message and nobody will ever know.

Can templates handle guest questions automatically?

No. Templates and scheduled messages are one-way broadcasts — they can't read or answer anything, and 60–70% of guest messages are questions. To automate replies you need conversational AI: tools like Verto answer free-form questions on WhatsApp 24/7 in 25+ languages, using your property information and live PMS data, handling 85% of conversations without your involvement.
